Liverpool John Moores University is the Data Controller for this aspect of the recruitment process, however Merseyside Police Recruitment will be processing the information required for your application with Merseyside Police.

LJMU takes your privacy very seriously. This privacy notice explains how we use your personal information and your rights regarding that information. We will always use your data as set out in the principles of the General Data Protection Regulation (GDPR) and all current Data Protection Legislation. We are committed to being transparent about how we collect and use your data and to meeting our data protection obligations.

The type of information we are collecting
We are collecting personal information which will assist LJMU in assessing whether you have any transferrable skills which could offer advancement on the programme, by way of recognition of prior experience or learning. We will specifically be collecting your name, date of birth, address, proof of level 2 or equivalent English and Maths qualifications, or any other qualifications which could be used. We will also be asking whether you hold an individual support plan or wish to be assessed for one. This is to ensure that any provisions are in place when you start your learning journey.
The reason why we are collecting your data and the legal basis for this
LJMU will collect personal data from you for several reasons, and will at all times do so in compliance with the principles of the GDPR, and for one of the legal basis set out in Article 6 of the Regulation.
We are processing your data under the Article 6 provisions for a public task as it is our public duty to provide education and support students. We are also processing this information, so that we are able to offer you a bespoke entry to the course in line with apprenticeship provision guidelines.
We need to collect personal data from you for several reasons. For example, we need to keep proper records, provide support and guidance, to monitor your attendance and academic progress and provide appropriate learning and teaching support.
We collect information about your health and disability so that we can properly support you during your time at the University.
The source of this personal data
The personal data will be obtained from you, or if needed via the Government Learning Records Service.
Who has access to this data
Your personal data will be used only by relevant LJMU staff where the data is necessary for them to undertake their designated role.
Examples of relevant LJMU staff may include:
- Your Academic Tutor
- Apprenticeship Team
Examples of external parties we may lawfully share information with include:
- Merseyside Police, as your employers
- Providers of software we use
Protection of your data
The University takes Data Protection very seriously and at all times your personal data will be handled in line with the University’s Information Security Policy.
Include details of any other specific arrangements here, for example paper documents kept in locked cabinets; any security standards held by any processers or software providers we use.
The skills scan form will be emailed to you. Once completed, your documentation will be kept securely in a locked cabinet before being transferred to a password protected file.
For how long does the University keep your data?
We will keep your data for as long as we need it, If you become a student with us this will be for 6 years after the conclusion of your studies. When we no longer need the information, we will dispose of it securely. If you do not enrol in one of our courses this information will only be kept for a year.
Your rights
As a data subject, you have a number of rights. These include:
- Access and obtain a copy of your data on request, this could be in a portable electronic format.
- Require the University to change incorrect or incomplete data if you think that it is inaccurate or out of date.
- Require the University to delete or stop processing your data, for example where the data is no longer necessary or legally required for the purposes of processing.
- If your personal data has been provided by consent, you have a right to withdraw that consent at any time.

What if you do not provide data?
We do require certain information from you to enable us to provide you with your educational requirements, which are required as part of your probationary period. You will engage with some of our teams on an optional basis, such as Student Advice and Wellbeing Service and Alumni Services. These teams will only be able to assist you or keep you informed if you choose to provide your information to them.
Transfers of data outside the UK
Generally, we do not send your personal data outside the UK. However, in some specific cases we may transfer the personal data we collect to countries outside the UK in order to perform our contract with you/or a contract with another organisation that requires your personal data i.e. a collaboration agreement with a university based outside of the UK. Where we do this, we will ensure that your personal information is protected by way of an ‘adequacy regulation’ with the UK or by putting alternative appropriate measures in place to ensure that your personal information is treated by those third parties in a way that is consistent with and which respects the UK laws on data protection. For example model contractual clauses, data sharing/data processing agreement and binding corporate rules (where applicable).
Automated decision making
We will not make any decisions about you automatically using a computer, based on your personal data. All decisions affecting you will be taken by a human.
The Information Commissioner’s Office
